Gather

Privacy Policy

Effective date: 2 October 2026 · Updated October 3, 2026 (deletion timing)

Gather ("the app") is made by Huhu Inc. ("Huhu", "we", "us"), based in California, USA. This policy explains what we collect, why, and what control you have. The short version: your family's calendar belongs to you, we use it only to run the app for the people you choose to share it with, other families only ever see when you're free (never what you're doing), we never sell your data, and there are no ads.

Gather is a different app from Early Days, which has its own policy. This policy covers Gather only.

Who the app is for

Gather is for parents and other adults organizing family life. You must be an adult to create an account. Children do not have accounts and cannot use the app themselves. The information you store about your children is entered by you — see "Your children's information" and "Children's privacy" below.

What we collect

Account information. When you sign in with Apple or Google we receive your email address, display name, and an authentication identifier. We use these to create your account and let the people you connect with recognize you. (If you use Apple's "Hide My Email", we receive the relay address Apple gives us — that works fine.)

Your family and calendar. The family you set up (the adults you invite, and the children you add), your events — title, date, time, location, notes, which child an event is for, photos you attach — your saved ideas, places and camps, your named and imported calendars, and your RSVP responses. We also store your family's time zone, taken from your phone, so we can work out times correctly.

Your connected calendars. See the next section.

Time proposals and Playdate now. When you use Find a time or Playdate now we store the proposal: its title, the time options, the kids it involves (first names), who it was sent to, their answers, and its status. If you add a guest, we store the name and email address you typed. Any private reasons we show you about your own options ("works if you move your 1:1") are kept for your family only.

Messages and social activity. Chat messages and group messages you send, poll votes, comments, reactions, your connections to other families, and invitations you send or accept. Messages are stored so the people in the conversation can read them.

Email you forward to us. If you forward an email to Gather's intake address, we read it (and any PDF or image attached) to pull out events, ideas or camps. We keep the extracted result — we do not store the raw email body or the attachment. We do keep the email address it was sent from, so we know whose calendar it belongs to.

Photos and files you upload. Photos you attach to events, screenshots you attach to feedback, and images or PDFs of schedules, flyers, or class rosters you upload for us to read.

Location, if you allow it. If you grant location permission, your phone works out which city you're in and your phone asks a weather service for the forecast (see "Location and weather"). We do not receive or store your coordinates, and we do not track your movements. Saved places keep the map position of the place, not of you.

Contacts, if you allow it. If you use the "invite from contacts" feature, the app reads your device's contacts on your device to show you a picker. When you choose someone, their email address is sent to our server to check whether they already use Gather and to send the invitation. We do not upload or store your whole address book.

Notifications. If you enable them, we store your device's push token, your timezone offset, and your notification preferences so we can deliver them. Gather can send push notifications about plans, proposals, Playdate now, registration deadlines and messages.

Feedback. If you send feedback we receive your message, an optional screenshot you choose to attach, and your email so we can reply.

Usage analytics. We use Google Firebase Analytics to understand app usage (for example which screens are used, device model and OS version). We log the fact that something happened — an event was created, a message was sent — never the content. This is standard product analytics tied to an app identifier, not advertising tracking, and we don't combine it with ad networks or data brokers (we work with none).

What we do NOT collect: advertising identifiers, your browsing history, anything about your finances, and your microphone — the app has no recording feature. We have no third-party trackers and no ad SDKs. The app does not "track" you as Apple defines it.

Your connected calendars

You can connect Google Calendar and/or Apple Calendar so Gather can tell when you're free. Here is exactly what that means.

Google user data

If you connect your Google account, Gather asks Google for these permissions:

We use Google user data only to provide these features to you. We do not use it for advertising, we do not sell it, we do not use it to train AI or machine-learning models, and people at Huhu do not read it except to fix a problem you ask us about, to protect the service from abuse, or where the law requires.

Gather's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

You can disconnect at any time in Settings → Calendars, and you can remove Gather's access from your Google account at myaccount.google.com/permissions.

AI assistants you connect

You can connect an AI assistant you already use (for example ChatGPT or Claude) from Settings → Assistants. You create a short-lived code, the assistant connects, and from then on it can ask Gather, on your behalf, to:

Drafts do nothing until you approve them in Gather. By default an assistant sees events from your connected Google or Apple calendars only as "Busy" blocks (start and end, no title or place). You can choose to let it see titles and places in Settings → Assistants. You can see what your assistants asked in the app, and Disconnect one at any time — it stops working immediately.

Once an assistant receives information from Gather, that company's own terms and privacy policy govern what it does with it. Connect only assistants you trust, and only if you're comfortable with them seeing what you've allowed.

Your children's information

What Gather stores about a child is deliberately minimal: first name, a colour and emoji you pick, and — if you choose to enter it — a birth date. That's the whole list. There is no field for a school, an address, a photo of your child, or any medical or health information, and there is no child account or child-facing screen anywhere in the app.

You enter this, and you can edit or delete it at any time. A child's name and birth date are sent to Google's AI service if you describe your family in your own words during setup (see "AI features"). Children's first names are included in time proposals and are visible to the families you connect with, which we explain in "What other people can see".

Information about other people

Some Gather features involve information about people who don't use Gather. We want to be straightforward about this because you are the one providing it:

We use this information only to provide the feature you asked for. Please only upload information you're allowed to share, and only invite people you actually know. If someone asks us to remove information about them that you provided, we will.

AI features

Several Gather features work by sending your text, images or documents to Google's Gemini AI service, which processes them and returns a result:

Your calendar events from Google or Apple are not sent to AI. Finding times uses built-in rules, not AI.

Google processes this content on our behalf in order to return the result. We use Google's paid API tier, under which Google does not use the content you send to train or improve its models. We do not sell this content. (Assistants you connect yourself are separate — see "AI assistants you connect".)

AI output can be wrong. Events and camps it extracts are shown to you to confirm before anything is added to your calendar, and assistants only draft — you approve.

Location and weather

If you allow location, your phone works out your city and your phone sends your approximate coordinates directly to Open-Meteo (open-meteo.com), a weather service, to get the forecast for the Home screen. The request goes from your phone, not through our servers, so Open-Meteo sees your phone's IP address and those coordinates under its own privacy policy. Gather's servers do not receive or store your coordinates. If you say no to location, Gather shows a default location.

What other people can see

This is the part worth reading twice, because Gather is a sharing app.

How we use data

If you're in the EU/UK (legal bases)

Where GDPR-style laws apply, our legal bases are: performing our agreement with you (storing and syncing the calendar and messages you ask us to keep, finding times, delivering the app), your consent for the optional things (location, contacts, notifications, connecting a calendar or an assistant) — which you can withdraw at any time in your device or app settings — and our legitimate interest in basic product analytics, in sending service emails, and in keeping the service secure. We don't do automated decision-making with legal effects, and we don't profile you for advertising.

Who else touches the data

We may disclose information if the law genuinely requires it (a valid legal demand), to protect someone's safety, or to defend our legal rights — and if that ever happens we'll tell you unless the law forbids it. If the app is ever acquired or handed to a successor, your data goes only with the same promises in this policy, and we'll notify you before anything changes.

Where it's stored

Your data is stored with Google Firebase on Google Cloud servers in the United States, and Google processes it on our behalf under Google's data-processing terms. If you use the app from outside the US, your data comes to US servers — we want to be plain about that. Google LLC participates in the EU-U.S. Data Privacy Framework and its data-processing terms for Firebase include the European Commission's Standard Contractual Clauses for onward processing; we rely on those Google commitments rather than pretending we've signed separate transfer paperwork with each user. Data is encrypted in transit and at rest.

Security

Data is encrypted in transit and at rest, access is controlled by security rules that scope data to your family and the people you've connected with (your connected-calendar events are readable only by you), and we keep the data we hold to the minimum the features need. No system is perfect: if we learn of a breach that affects your personal data, we will notify you without unreasonable delay — in the app or by email — and as required by applicable law.

Your controls

Data retention

We keep your data for as long as your account exists. Deleting your account deletes it, as described above. Specifically: connected-calendar events are kept only from 30 days ago to 180 days ahead (older ones are cleared nightly) and are deleted when you disconnect or delete your account; time proposals are deleted 90 days after the last time option; push tokens are kept only while notifications are enabled for your device; analytics data is retained under Firebase's standard limited retention period; forwarded-email previews for addresses we don't recognize are deleted after 30 days; and feedback messages are kept as long as needed to act on them, then removed.

Children's privacy

The app is directed to adults — parents and caregivers — and we do not knowingly collect personal information from children, online or otherwise. The information about your child is provided by you, the parent or guardian, and is used only to provide the service to your family and the people you share with. (US children's privacy law — COPPA — governs data collected from children using a service; Gather is not designed for or usable by children, and no child interacts with it.) If we learn a child has created an account, we will delete it.

Your rights (GDPR / CCPA and similar)

Depending on where you live, privacy laws give you rights to access, correct, export, delete, or object to processing of your data. Honestly: we're a small operation, and some of these laws (like California's CCPA) technically apply only to businesses far larger than us. We don't lean on that. We give the same controls to everyone, everywhere: the in-app delete covers erasure directly; editing covers correction; and for access, a copy of your data, or anything else — objection, restriction, a question, or exercising a right through an authorized agent — email us and we'll handle it within the timelines the strictest applicable law would set: app_support@meethuhu.com. We will never discriminate against you for exercising a privacy right (there's nothing to discriminate with — the app is free and the same for everyone). We do not sell or share personal information as California law defines those terms, so there is nothing to opt out of. If you're in the EU/UK and we can't resolve a concern, you also have the right to complain to your local data protection authority.

Changes

If we change this policy we'll update the date above and, for meaningful changes, tell you in the app before they take effect.
